Thanks for this posting Rachael, and I apologise if the way that the meeting was organised reduced the extent to which you felt that you could contribute. Obviously that was not the intention. On the other matters you raise I can only answer as an individual, and need to make it clear that my views do not necessarily represent the views of other Board members nor members of the Steering group.I'd like to make two points here, and hope that you will engage in further debate over these matters, though not necessarily in this forum but on a face to face basis. Firstly the setting up of Exeter Community Radio Ltd was something undertaken initially for the purposes of obtaining a license for a five year period, and solely on that basis and without any long-term aims and objectives, nor it would have to be said did we have any intention of setting its parameters and membership in 'tablets of stone' nor did it have any intention of doing the same with regard to the membership of the steering group. After one year on-air, a year which as was mentioned at the meeting, a fairly large 'time slip' in progress occurred and both bodies now have time to consider their futures and report to interested parties about the ways forward. Secondly there are clearly areas about which transparency is not always possible. The most obvious one is finance, but the Company has in place an independent auditor who is satisfied that the areas that he has examined comply with all regulations. There are also areas which at the moment only concern the Board and the Steering Group, and chief amongst those is our relationship going forward with OFCOM-our regulator. | | Hello I was at the meeting on Tuesday and also want to thank the chair and all the attendees for their part in creating the radio station that I enjoy on a daily basis. I would like to go back to the point made . . . .10:55 am January 17, 2009 This does not preclude anybody raising issues at the Annual meeting (though I dare say some notice of such questions would be welcomed by the Chair of the steering committee), nor is it meant to stifle genuine debate about where the station might be going, or what its aims for the next year and beyond should be. . . . . In relation to the meeting, one of the first things mentioned was a list that was reeled off about (The Boards) ideas were. I felt that did take the wind out of my sails, it did stifle my contribution, as I was reluctant to raise similar ideas or volunteer involvement around those subjects. Where I appreciate this was not the intention, I believe the approach has to be thought through, to create a free forum for ideas. This may only be one persons experience, but I feel the point is valid and it should be taken in to consideration that others may have had the same experience. I am also interested in the dynamics of the board and steering group so I can make an informed decision if – how I can help Phonic reach its full potential. | | I'd like to thank those who turned up to the meeting last night, and especially to those who contributed to the general debate. Notes were taken, and in the fullness of time (not that full!) a summary of the topics raised will be issued. In the meantime the steering group will be meeting and discussing a paper aimed at charting the forward plans for the station and they too will put the results in the public domain. Finally I'd like to thank Pete Bishop for all the hard work that he put into organising the vents and also undertaking the difficult task of chairing it. |

| | Without trying to be disingenuous in any way, I would have to say that it would depend on what the decision was, and what it concerned. The Directors of the Company meet on a regular basis to discuss matters of concern regarding the affairs of the Company, but we are guided by the views and suggestions made by the Steering Group, and there is an ongoing consultation over a number of issues which is taking place at the moment, and from which there will (hopefully) be a vision document produced to take the Company forward during the period February 2009 to February 2010. Looking forward to seeing you at the public meeting. |

The Board have formulated a set of ideas which they have distributed to 'key players' in the steering committee with a view to producing a final version of those ideas to be discussed by the Steering Committee. This process should be completed by the end of the coming week at which time it will be put before the steering committee as a whole for further discussions. This does not preclude anybody raising issues at the Annual meeting (though I dare say some notice of such questions would be welcomed by the Chair of the steering committee), nor is it meant to stifle genuine debate about where the station might be going, or what its aims for the next year and beyond should be. One of the 'difficulties' that an organisation like Phonic has is that there is (and will probably remain so) information about issues that affect the future (finance/proposed changes/discussions with OFCOM) which are business sensitive and will emerge 'down the line' rather than being revealed in any public forum. I'm quite happy, once it has been ratified by the Directors and the Steering Group to put the vision document in the public domain. |
